How to buy an image visible on Lincs to the Past

It is usually possible to buy copies of images displayed on Lincs to the Past. Images will be supplied via email in the highest resolution possible, without watermarking.

Please note that our online payment system is currently unavailable and orders should be placed using the Lincs to the Past Offline Order Form.

How to order an image not visible on Lincs to the Past

We are currently in the process of digitising many museum and archive records and making them available via Lincs to the Past. As a result not all Lincs to the Past records have an accompanying image. Due to the large scale of this project, the complex nature of copying images and the wide variety of possible orders, we are not able to satisfy all copy requests via Lincs to the Past.

To place an order or enquire about a record image not available on Lincs to the Past please download and complete the Reprographics order form below.

Making an Order

Completing an order Form:

All image orders should be placed by downloading and completing the Lincs to the Past Order Form (for images visible on Lincs to the Past) or by completing the Reprographics Order Form (for images not visible on Lincs to the Past). Both forms can be downloaded below.

Completed forms should be emailed to LincstothePastOrders@lincolnshire.gov.uk or sent by post to:-

Lincolnshire Archives
St Rumbold Street
Lincolnshire, LN2 5AB

As copyright legislation requires your original signature, please ensure that you sign and date the copyright declaration section of the order form.

Making Payment:

Please do not send payment until after you have placed your order. For new image requests we will not know the final cost until we have assessed your request and seen how many pieces the item comprises and considered its size.

You will be charged when the work is completed, at which time either your card will be charged (if you have supplied details at the time of placing your order) or we will contact you for payment by cheque or credit card.

Unfortunately, we cannot provide exact quotations for new image captures but can advise on unit charges and guideline estimates. If you have an upper cost limit, please advise us on your order form.

Order forms and charges are reviewed annually on 1 April and are therefore subject to change.

How much will my order cost?

As collections held at Lincolnshire Archives include documents created over the last 1,200 years, their condition and suitability for copying varies greatly. The techniques used to produce copies are determined by the format, dimensions, condition and preservation requirements of each original document. The cost of copies will vary according to the techniques that have been employed to produce the copy. Prices are set to cover the costs of materials, original digitisation and staff time.

Unfortunately, we cannot provide exact quotations but can advise on unit charges and guideline estimates. If you have an upper cost limit, please advise us on your order form.

There is a minimum order charge (2018-19) of £5 plus charges according to chosen format type and supply method.

You can download our Fees and Charges (2018-2019) from the link below.

In some cases, the written permission of the depositor may have to be obtained before copies can be made. Letters granting permission must be addressed to Lincolnshire Archives.

We are unable to provide copies of Wills after 1858. These are supplied by the Probate Registry at Leeds.

How long does an order take?

You should allow up to 28 days for your order to be processed.

If you require a rush order (supplied within 5 days minimum) please contact us to discuss charges and availability.

Are there any restrictions on how I can reproduce the image or its content?

All copies are made on the understanding that those who request them and subsequently retain them are aware of their responsibility to comply with the current law on copyright. Customers are obliged to sign the copyright declaration on the order form. A faxed or printed copy is not acceptable.

Copies are supplied for personal study and non-commercial use. You must send a signed order form to us before we can proceed with the order so that we can comply with copyright law.

Customers who intend to reproduce images supplied in any format or lengthy transcriptions should contact the Collections Development Officer (Archives) at lincolnshire.archives@lincolnshire.gov.uk, or by post to:-

Lincolnshire Archives
St Rumbold Street
Lincolnshire, LN2 5AB

You will need to provide details of the item concerned, the type of publication, print-run/circulation and commercial status. If permission is granted, you will be advised as to the fees and charges that apply.

In certain cases, such as purchase by institutions, a contract will be issued prior to the sale of copies. Please enquire if you require several copies of an item for legal purposes.

Terms and conditions for Third Party and Legal Use are available to download below.
